KASIUS — Privacy Policy

This Privacy Policy describes how Northcrest Education ("Northcrest," "we," "us," or "our") collects, uses, stores, and protects information in connection with the KASIUS AI Coaching Platform ("KASIUS" or "the Platform"). By creating an account or using the Platform, you acknowledge that you have read and understood this policy.

KASIUS is designed for students aged 13 and older. If you are under 18, your parent or legal guardian should review this policy alongside you. We do not knowingly collect personal information from individuals under the age of 13. If we become aware that a user is under 13, we will promptly delete their account and associated data.

1. INFORMATION WE COLLECT

We collect the following categories of information:

a. Account Information

  • First name or preferred name
  • Email address
  • Registration code (used to verify enrollment status)
  • Date of account creation

b. Coaching Session Data

  • Messages and inputs submitted during coaching sessions
  • Error log entries and performance diagnostic data entered by the student
  • Session history and interaction records generated within the Platform

c. Uploaded Files

Students may upload files (such as practice test results or score reports) during their coaching sessions. These files are stored securely and associated with the student's account.

d. Technical and Usage Data

  • Browser type and device information
  • IP address and approximate geographic location
  • Session timestamps and platform interaction logs

2. HOW SESSION DATA AND UPLOADED FILES ARE STORED

KASIUS is hosted on infrastructure provided by Supabase (database and file storage) and Vercel (API proxy and serverless functions). All data transmitted between your device and our servers is encrypted in transit using industry-standard TLS protocols. Data stored within Supabase is encrypted at rest.

Uploaded files are stored in a secure, access-controlled storage environment. Files are not publicly accessible and are retrievable only by authenticated users within the context of their own account.

Session conversation data is associated with your account and retained for continuity of coaching across sessions. This data is not stored within the underlying AI model itself — it is maintained within the Platform's own database.

3. HOW WE USE YOUR INFORMATION

Information collected through KASIUS is used exclusively for the following purposes:

  • To authenticate your account and verify enrollment status via registration code
  • To deliver and maintain the AI coaching experience within your sessions
  • To preserve session continuity and allow Kasius to reference prior session context
  • To support your performance coach (Northcrest Education) in monitoring your progress and providing supplemental coaching where applicable
  • To improve the reliability and functionality of the Platform over time
  • To respond to support requests or account-related inquiries

We do not use your data for advertising purposes. We do not sell, rent, or trade your personal information to any third party.

4. WHO HAS ACCESS TO YOUR DATA

Access to student data is strictly limited:

  • Northcrest Education: Scott Jones, as the sole operator of Northcrest Education, has administrative access to account and session data for the purpose of coaching oversight, platform maintenance, and support.
  • Infrastructure Providers: Supabase and Vercel process data on our behalf as part of platform hosting. These providers operate under their own privacy and security policies and are contractually obligated to handle data responsibly. They do not use your data for their own purposes.
  • AI Model Provider: Session inputs are processed by an AI model via API. Inputs are not used to train the underlying model. No personally identifiable information beyond what is necessary to deliver the session response is transmitted.

No other third parties have access to your data unless required by law.

5. DATA RETENTION

Your account information and session data are retained indefinitely for the duration of your enrollment and beyond, unless you submit a deletion request. Indefinite retention allows your performance history to remain accessible for future reference and continued coaching continuity.

Upon a verified deletion request, all personal information and session data associated with your account will be permanently removed from our systems within a reasonable timeframe, not to exceed 30 days.

6. YOUR RIGHTS REGARDING YOUR DATA

As a KASIUS user, you have the following rights:

  • Access: You may request a summary of the personal information we hold about you.
  • Correction: You may request correction of inaccurate account information.
  • Deletion: You may request permanent deletion of your account and all associated data at any time.
  • Portability: You may request a copy of your session data in a readable format.
  • Withdrawal: If you are a minor, your parent or legal guardian may exercise these rights on your behalf.

7. MINORS AND PARENTAL AWARENESS

KASIUS is intended for students aged 13 and older. Students under the age of 18 are considered minors, and we encourage parents and guardians to remain aware of their child's use of the Platform. Northcrest Education does not direct marketing communications toward minors.

Parents or guardians of minor users may contact us at any time to request access to, correction of, or deletion of their child's account and data.

8. CHANGES TO THIS POLICY

Northcrest Education reserves the right to update this Privacy Policy at any time. When material changes are made, users will be notified via the Platform or by email. Continued use of KASIUS following notification of changes constitutes acceptance of the revised policy.
